Privacy Policy

The Board of Trustees of the Woodward High School of the City of Cincinnati, doing business as Woodward Trust (“Woodward Trust,” “we,” “us,” or “our”), respects your privacy. This Privacy Policy explains what information we collect when you visit woodwardtrust.org (the “Site”), how we use it, and the choices you have. Please read it carefully. By using the Site, you agree to the practices described below.
1. Our Approach in Brief
We are a non-profit trust, not a commercial business, and the Site reflects that. In particular:
- We do not use analytics, advertising, or social media tracking cookies on this Site.
- We do not sell or share your personal information, and we do not use it for targeted advertising.
- We do not process donations or rent payments on this Site — those take place on PayPal’s own platform.
- The only information we collect is what you choose to send us, plus the routine technical records every website keeps in order to operate securely.
2. Information We Collect
2.1 Information You Provide Directly
- Contact form. Our contact page asks for your name, email address, phone number, and your message. These are delivered to us by email; we do not build a marketing list from them.
- Grant correspondence. If you submit a Letter of Inquiry or, upon invitation, a full proposal, we receive whatever information you and your organization choose to include, along with any supporting materials.
- Other correspondence. Information you send us by email, letter, or telephone.
2.2 Information Collected Automatically
- Standard web server records kept by our hosting provider, such as IP address, browser type, pages requested, and the date and time of the request. These are used for security, troubleshooting, and keeping the Site running.
- Strictly necessary cookies, described in Section 5.
2.3 Information We Do Not Collect Here
We do not collect payment card or bank account details through this Site. When you click “Donate Online” or “Pay Rent Online,” you leave woodwardtrust.org and complete the transaction on PayPal, which handles your payment information under its own privacy policy. We receive only the transaction details PayPal reports to us, such as the donor or payer name, amount, and any note you add.
We also do not collect information about the individual students who benefit from our programs through this Site. Program funds are administered with partner organizations and school districts, which hold student records under their own policies and applicable law.
3. How We Use Your Information
- To respond to your inquiries and correspond with you
- To review, administer, and follow up on grant requests
- To administer our ground leases and acknowledge rent payments
- To acknowledge donations and comply with our recordkeeping and reporting obligations as a non-profit trust
- To operate, maintain, secure, and improve the Site
- To detect and prevent spam, fraud, and abuse
- To comply with applicable law and respond to lawful requests
4. How We Share Your Information
We do not sell or share your personal information, and we do not disclose it for cross-context behavioral advertising. We disclose information only in these limited circumstances:
4.1 Service Providers
We use a small number of vendors to operate the Site and our administration — our web host, our email provider, Google reCAPTCHA for spam protection, and PayPal for donations and rent. They may process your information only as needed to provide those services to us.
4.2 Trustees, Staff, and Professional Advisors
Grant correspondence is reviewed by our Executive Director, our Board of Trustees, and, where appropriate, our accountants and legal counsel, all of whom are bound by confidentiality obligations and our Conflict of Interest Policy.
4.3 Legal and Regulatory Compliance
As a charitable trust, we file reports with tax and charitable-oversight authorities, and our trustees are appointed by Cincinnati City Council and the Hamilton County Court of Common Pleas. We may disclose information where required by law, subpoena, court order, or governmental request, or where we believe disclosure is necessary to protect our rights, safety, or property.
4.4 With Your Consent
We may share information with others when you ask us to or otherwise give us permission.
5. Cookies & Tracking Technologies
A cookie is a small text file placed on your device by a website. When you first visit the Site, a consent banner lets you accept all cookies, reject all non-essential cookies, or review the categories. Non-essential cookies and scripts are blocked until you opt in, and we keep a record of the choice you make so we can honor it.
At present this Site sets only strictly necessary cookies:
- Strictly Necessary — required for the Site to function and stay secure: the website platform (WordPress and Elementor), the cookie consent tool that remembers your choice, and Google reCAPTCHA, which protects our contact form and administrative logins from automated abuse. These are always active because the Site cannot operate without them.
- Analytics, Functional, and Marketing — not currently used. If we ever add such tools, they will load only after you opt in through the consent banner.
You can change or withdraw your consent at any time using the “Do Not Sell or Share My Personal Information” link in the footer of every page, which reopens the consent controls. We also honor the Global Privacy Control (GPC) browser signal as a valid opt-out request. Withdrawing consent does not affect the lawfulness of processing carried out beforehand. You can also block or delete cookies in your browser settings, though the Site may not work correctly without the strictly necessary ones.
The fonts used in our own page design are served from our server rather than from a third-party font service. The Google reCAPTCHA protection on our contact page does load its resources directly from Google, and may set a _GRECAPTCHA cookie in your browser for that purpose; this is why reCAPTCHA is listed as strictly necessary above.
6. Data Retention
We keep personal information only as long as needed for the purposes described above, and to satisfy the recordkeeping, tax, audit, and reporting obligations that apply to a charitable trust. Grant files and donation records are retained in accordance with those obligations. When information is no longer needed, we securely delete or destroy it.
7. Your Privacy Rights & Choices
Depending on where you live, you may have the right to request access to the personal information we hold about you, to have it corrected or deleted, to receive a copy of it, to opt out of the sale or sharing of personal information (we do not sell or share), and to be free from discrimination for exercising these rights. To make a request, contact us using the details in Section 11. We will respond within the time allowed by applicable law and may need to verify your identity first. If you are dissatisfied with our response, you may have the right to appeal or to contact your state attorney general.
8. Children’s Privacy
Although our charitable work benefits students, this Site is intended for adults — donors, grant applicants, ground-lease tenants, and members of the public interested in our work. It is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, please contact us and we will delete it.
9. Data Security
The Site is served over an encrypted HTTPS connection, and we use administrative and technical safeguards intended to protect information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. Please do not send sensitive personal information, such as Social Security or financial account numbers, through our contact form.
10. Third-Party Links & Changes to This Policy
The Site links to third-party websites, including PayPal, Candid, Google Maps, and the Hamilton County Auditor. This Privacy Policy does not apply to those sites, and we encourage you to review their own policies. We may update this Privacy Policy from time to time; when we make material changes we will revise the Effective Date above and, where appropriate, post a notice on the Site.
